Privacy Policy

Last updated: 04/06/2026

This Privacy Policy explains how InstallerMate collects, uses, stores and protects personal information when you use our website, register for an InstallerMate account, use our quote widget, appear in our installer directory, or submit a driveway quote request through InstallerMate.

InstallerMate is designed for driveway companies and homeowners. This policy applies to both:

  • Driveway companies, installers and business users who register for an InstallerMate account, use our dashboard, add the quote widget to their website or appear in the InstallerMate directory.
  • Homeowners and customers who browse InstallerMate, view installer profiles, use a quote widget or submit a driveway quote request.

By using InstallerMate, you should read this policy carefully so you understand how your personal information is handled.

1. Who we are

InstallerMate is operated by InstallerMate.

Our contact details are:

  • Website: https://installermate.com
  • App / dashboard: https://app.installermate.com
  • Email: info@installermate.com

For data protection queries, account privacy requests or questions about this policy, please contact us at info@installermate.com.

2. Our role under data protection law

Under UK data protection law, different organisations may have different roles depending on how personal information is used.

For information we collect directly through the InstallerMate website, account registration, subscriptions, contact forms, analytics, directory pages and general platform operation, InstallerMate acts as a data controller. This means we decide how and why that information is used.

Where a driveway company uses the InstallerMate quote widget on its own website to collect customer quote requests, that driveway company will usually be the data controller for the customer enquiry. InstallerMate processes and stores that enquiry information so the company can receive, manage and respond to the quote request.

Where a homeowner submits a quote request through an InstallerMate directory page or installer profile, InstallerMate may collect and process that information to send the request to the relevant driveway company and support the operation of the directory.

3. Personal information we collect from driveway companies

If you register as a driveway company, installer, business owner or account user, we may collect the following information:

  • Your name.
  • Your business name.
  • Your email address.
  • Your phone number.
  • Your password or login credentials, stored securely in hashed form where applicable.
  • Your business address or service area information.
  • Your company logo.
  • Your website address.
  • Your selected driveway services and surfaces.
  • Your price ranges for different driveway surfaces.
  • Your company profile information.
  • Your gallery images and project images.
  • Your chosen InstallerMate plan.
  • Your subscription status.
  • Your billing and payment status.
  • Your widget settings, styling choices and embed settings.
  • Messages you send to us through support or contact forms.
  • Technical information connected with your account, such as login activity, IP address, browser type and device information.

We use this information to create and manage your InstallerMate account, provide the quote widget, display your company profile where applicable, send enquiries to you, manage your subscription and support your use of the platform.

4. Personal information we collect from homeowners and quote request customers

If you use a driveway quote widget, browse installer profiles or submit a quote request, we may collect the following information:

  • Your name.
  • Your email address.
  • Your phone number.
  • Your postcode or location.
  • Your property address, if you provide it.
  • Your chosen driveway surface.
  • Your estimated driveway size or area.
  • Your generated guide price range.
  • Your project message or additional notes.
  • Your preferred survey date or time, if provided.
  • Photos or images you upload as part of your quote request.
  • The installer or driveway company you contacted.
  • The website, widget or directory page through which you submitted your enquiry.
  • Technical information such as IP address, browser type, device type and approximate location data.

This information is used to process your quote request, send it to the relevant driveway company, help the company understand your project and allow them to respond to your enquiry.

5. Information collected automatically

When you use our website, app, dashboard, quote widget or directory pages, we may automatically collect technical information such as:

  • IP address.
  • Browser type and version.
  • Device type.
  • Operating system.
  • Pages visited.
  • Time and date of visit.
  • Referring website or traffic source.
  • Interactions with forms, buttons, widgets and dashboard features.
  • Cookie and tracking preferences.

We use this information to keep the website secure, understand how the platform is used, improve performance, diagnose technical issues and improve the user experience.

6. How we use personal information

We use personal information for the following purposes:

  • To create and manage InstallerMate accounts.
  • To provide the InstallerMate dashboard.
  • To provide and operate the driveway quote widget.
  • To generate driveway guide prices based on the information entered and price ranges set by installers.
  • To send quote enquiries to driveway companies.
  • To store enquiries in the InstallerMate dashboard.
  • To send email notifications about new enquiries.
  • To display installer profiles and directory listings.
  • To manage subscriptions, billing and payment status.
  • To provide customer support.
  • To respond to contact form submissions.
  • To improve InstallerMate’s features, design, performance and reliability.
  • To prevent misuse, spam, fraud or unauthorised access.
  • To comply with legal, tax, accounting and regulatory obligations.
  • To send service messages, account updates and important platform notices.
  • To send marketing communications where permitted by law or where you have opted in.

7. Lawful bases for using personal information

Under UK data protection law, we must have a lawful basis for using personal information. Depending on the situation, we may rely on one or more of the following lawful bases:

  • Contract: where we need to process information to provide InstallerMate services, manage an account, operate a subscription or process quote requests requested through the platform.
  • Legitimate interests: where we use information to operate, improve, secure and promote InstallerMate, provided those interests are not overridden by your rights and freedoms.
  • Consent: where you have clearly opted in, for example to certain marketing communications or non-essential cookies.
  • Legal obligation: where we need to keep records or disclose information to comply with applicable law, tax, accounting or regulatory requirements.

We do not rely on consent for every use of personal information. Where we rely on consent, you can withdraw it at any time.

8. Quote requests and sharing information with driveway companies

When a homeowner submits a quote request through InstallerMate, the details entered into the form may be shared with the relevant driveway company so they can respond to the enquiry.

This may include:

  • Name.
  • Email address.
  • Phone number.
  • Address or postcode.
  • Driveway surface selected.
  • Estimated driveway size.
  • Guide price range.
  • Project message.
  • Preferred survey date or time.
  • Uploaded photos.

The driveway company may then contact the homeowner directly by phone, email or other contact details provided. Once the company receives the enquiry, it is responsible for handling that information in line with its own privacy obligations.

9. Guide prices and quote accuracy

InstallerMate may display driveway guide prices based on surface type, driveway size and price ranges set by the relevant driveway company.

Guide prices are not fixed quotes and should not be treated as a guaranteed final price. Final driveway prices may depend on factors such as:

  • Groundwork and excavation.
  • Drainage requirements.
  • Access to the property.
  • Waste removal.
  • Edging and finishing details.
  • Existing driveway condition.
  • Surface finish and specification.
  • Installer assessment after discussion or site visit.

Any final quote or contract for driveway work is between the homeowner and the driveway company, not InstallerMate.

10. Installer directory and public company profiles

InstallerMate may display public directory listings and company profile pages for driveway companies, especially Pro members.

Public profile information may include:

  • Company name.
  • Company logo.
  • Website link.
  • Business contact details.
  • Service areas.
  • Driveway surfaces offered.
  • Company profile description.
  • Gallery images.
  • Quote request links or buttons.

Driveway companies should only upload images, logos, descriptions and content they have permission to use.

11. Payments and billing

InstallerMate subscriptions and payments may be processed by third-party payment providers such as Stripe.

We do not store full card numbers or complete payment card details on our own systems. Payment providers may process information such as:

  • Name.
  • Email address.
  • Billing details.
  • Payment method details.
  • Transaction history.
  • Subscription status.

We may receive limited payment and subscription information from payment providers so we can activate, suspend, update or cancel access to InstallerMate services.

12. Cookies and similar technologies

InstallerMate may use cookies and similar technologies on our website, app, dashboard and quote widgets.

Cookies may be used to:

  • Keep users logged in.
  • Remember user preferences.
  • Keep the website and dashboard secure.
  • Measure website performance.
  • Understand how visitors use the website.
  • Improve the quote widget and dashboard experience.
  • Support marketing or analytics, where permitted.

Some cookies are essential for the website and platform to work. Non-essential cookies, such as certain analytics or marketing cookies, may require consent depending on how they are used.

You can usually control cookies through your browser settings. If you disable certain cookies, parts of the website, dashboard or quote widget may not work properly.

13. Analytics and website improvement

We may use analytics tools to understand how visitors and users interact with InstallerMate. This helps us improve pages, features, content, performance and user experience.

Analytics data may include pages viewed, actions taken, device type, approximate location, referral source and session behaviour. Where possible, we aim to use analytics in a way that does not directly identify individuals unless necessary for security, support or account management.

14. Emails and communications

We may send different types of emails depending on your relationship with InstallerMate.

For driveway companies and account users, we may send:

  • Account registration emails.
  • Login and security messages.
  • Subscription and billing emails.
  • Quote enquiry notifications.
  • Service updates.
  • Support replies.
  • Important platform notices.
  • Marketing emails, where permitted.

For homeowners and quote request customers, we may send:

  • Quote request confirmations.
  • Messages related to a submitted enquiry.
  • Support replies where you contact us.
  • Important information about your request, where necessary.

You can opt out of marketing emails where applicable. You may still receive service, account, billing, security or enquiry-related messages that are necessary for the platform to work.

15. Uploaded images and files

InstallerMate may allow driveway companies to upload logos, gallery images and company profile images. Customers submitting quote requests may also be able to upload photos of their driveway, property or project area.

Uploaded files may be stored and displayed depending on how they are used:

  • Company logos and gallery images may appear publicly on installer profiles or directory listings.
  • Customer quote request photos may be shown to the relevant driveway company inside the enquiry dashboard and may also be included in enquiry notifications.

Users should avoid uploading images that include unnecessary personal information, sensitive details, people who have not consented, vehicle registration plates, private documents or anything they do not have permission to share.

16. Who we share personal information with

We may share personal information with:

  • Driveway companies receiving quote requests.
  • Payment processors, such as Stripe.
  • Website hosting providers.
  • Email delivery providers.
  • Analytics providers.
  • Security, monitoring and spam prevention providers.
  • Professional advisers, such as accountants, legal advisers or insurers.
  • Regulators, law enforcement or public authorities where required by law.
  • Technical contractors or developers who help us maintain InstallerMate.

We only share personal information where necessary for the purposes described in this policy, where we have a lawful basis to do so, or where required by law.

17. International transfers

Some of the third-party services we use may process or store personal information outside the United Kingdom.

Where personal information is transferred internationally, we aim to ensure appropriate safeguards are in place, such as adequacy regulations, approved contractual clauses or other safeguards required by data protection law.

18. How long we keep personal information

We keep personal information only for as long as reasonably necessary for the purposes described in this policy, including account management, enquiry handling, legal compliance, accounting, security, dispute resolution and platform improvement.

Typical retention periods may include:

  • Account information: kept while the account is active and for a reasonable period after closure.
  • Subscription and billing records: kept for the period required for tax, accounting and legal purposes.
  • Quote enquiries: kept for as long as needed to provide the enquiry dashboard, support the installer’s records and handle any related issues.
  • Contact form messages: kept for as long as needed to respond and maintain support records.
  • Uploaded images: kept while needed for the relevant account, profile, gallery or enquiry.
  • Analytics data: kept according to the settings of the analytics provider and our business needs.
  • Security logs: kept for a reasonable period to protect the platform and investigate misuse.

We may delete, anonymise or archive information when it is no longer needed.

19. How we protect personal information

We take reasonable technical and organisational steps to protect personal information from loss, misuse, unauthorised access, disclosure, alteration or destruction.

Measures may include:

  • Secure hosting environments.
  • Password hashing for account passwords.
  • Access controls for dashboards and admin areas.
  • HTTPS encryption in transit.
  • Regular software updates where applicable.
  • Database access restrictions.
  • Monitoring and logging for security and debugging.
  • Limiting access to people who need it for platform operation or support.

No online service can be guaranteed to be completely secure. Users should keep their login details safe, use strong passwords and contact us if they believe their account has been compromised.

20. Your data protection rights

Depending on the circumstances, you may have the following rights under UK data protection law:

  • The right to be informed about how your personal information is used.
  • The right of access to request a copy of personal information held about you.
  • The right to rectification if information is inaccurate or incomplete.
  • The right to erasure in certain circumstances.
  • The right to restrict processing in certain circumstances.
  • The right to data portability in certain circumstances.
  • The right to object to certain types of processing, including direct marketing.
  • The right to withdraw consent where we rely on consent.
  • Rights relating to automated decision-making where applicable.

These rights are not absolute and may depend on the type of information, the lawful basis for processing and whether we need to keep the information for legal or legitimate reasons.

To exercise your rights, contact us at info@installermate.com.

21. Homeowner rights and driveway company enquiries

If you are a homeowner or customer who submitted a quote request through a driveway company’s InstallerMate widget, the driveway company may be the main data controller for that enquiry.

You can still contact InstallerMate at info@installermate.com, and we will help where we can. However, in some cases we may need to direct your request to the relevant driveway company or ask them to respond because they control the enquiry relationship with you.

22. Marketing

We may use business contact details to send relevant information about InstallerMate, including product updates, pricing information, feature announcements or offers, where permitted by law.

We will not sell your personal information to third parties for marketing.

You can opt out of marketing emails by using the unsubscribe link in the email or by contacting us.

23. Children’s privacy

InstallerMate is not designed for children. Our services are intended for driveway companies, homeowners and adults requesting driveway quotes.

We do not knowingly collect personal information from children. If you believe a child has provided personal information to InstallerMate, please contact us and we will take appropriate steps.

24. Links to other websites

InstallerMate may link to third-party websites, including driveway company websites, payment pages, support resources or external services.

We are not responsible for the privacy practices, content or security of third-party websites. You should read the privacy policy of any third-party website you visit.

25. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our services, legal requirements, technology or business operations.

The latest version will be published on this page with an updated “Last updated” date. If changes are significant, we may take additional steps to notify account users.

26. Complaints

If you have concerns about how we use your personal information, please contact us first at info@installermate.com so we can try to resolve the issue.

You also have the right to complain to the UK Information Commissioner’s Office.
